A step-by-step checklist for renting tools and equipment: what to do when you book, at pickup, during the job and at return.
Renting goes wrong in small, predictable ways. The wrong attachment. A dent you did not cause. A return that runs late. This checklist covers each stage so you can focus on the job.
When you book
- Describe the job to the shop, not just the tool name. Ask what they would use.
- Confirm the rental window and what happens if you return late or early.
- Ask which accessories and consumables are included.
- Check how it will fit in your vehicle, or whether delivery is an option.
- Read the damage and cleaning terms before the day.
Before you leave home
- Clear the work area so you are ready to start straight away.
- Bring gloves, eye protection and anything else the job needs.
- Charge your phone for photos.
At pickup
- Photograph every side, plus close-ups of existing marks.
- Start it or switch it on. Listen for anything odd.
- Count accessories, keys and cords, and match them to the paperwork.
- Ask for a quick demo of controls and safety features.
- Make sure existing damage is written on the agreement.
Our guide to inspecting rental equipment goes deeper on this step.
During the job
- Follow the instructions, even if you have used something similar.
- Stop and call the shop if anything breaks or behaves strangely.
- Keep small parts in one bag or box so nothing goes missing.
- Watch the clock. Leave time to clean up before the return.
Before you return
- Clean off dust, mud and debris as the terms require.
- Refuel or recharge if that is expected.
- Repack accessories the way they came.
At return
- Take a second set of photos at the counter.
- Walk around the item with staff if they will.
- Ask for a return receipt that confirms condition and time.
Afterwards
Keep your photos and paperwork until any deposit or charge has settled. Then note how the rental went. If you rent the same thing three or four times, it may be time to revisit rent or buy.
